Executive Board Meeting
Danville Area Girls Soccer Boosters
4/7/13 @ 7:00 p.m.
Attendees
Gary Ernest President, Mike Heimbach Vice President, Mary Lou Potter Asst. Treasure, Lisa Foster Treasurer, Cynthia Ryan Schneck Previous Treasurer and Terry Jones Secretary.
The meeting was called to order by Mr. Ernest. The meeting was for the purpose of resolving the issue of two checks which were not cashed as well as the transfer of the Treasure duties from Ms. Schneck to Ms. Foster.
· Outstanding Checks:
1. One check for 200.00 made out to Trinity as a deposit on the room was never cashed. Trinity contacted and they tore the check up as it was a security deposit.
2. The second check for 1529.50 was made out to Athletic Printing the check has not been cashed nor has the owner reached out to us. Numerous attempts to reach the owner have failed. The Executive Committee has agreed to send a certified letter to the owner communicating the concern in hopes of a resolution. The club will give the owner until June 1st to respond and resolve. A certified letter will be sent to Athletic Printing West Ridge Ave., Bloomsburg, Pa 17815.
· Transfer of Treasurer Duties
Ms. Schneck provided the group with a cash box, keys, check book, debit card and numerous loose receipts. The new treasurer and assistant accepted the items and will review the receipts and keep only those a year old or newer. A formal report of findings will occur at the next Booster meeting.
· Scholarship Fund: A 250.00 check will be sent to Stephen Butler at the High School for the Madigan Scholarship fund.
· The group adopted the policy for two people to sign all checks going forward. Additionally when reconciling a cash box or fundraiser two people will also sign off agreeing on final amounts.
· Terry Jones transferred 780.00 in cash to the treasurer for deposit. Monies are from current fundraiser-Gas Raffle.
Meeting was concluded at approximately 8:15.
